Registration includes technical sessions, lunches, breaks, the welcome banquet, the conference gala dinner, and a copy of the conference proceedings (digital download). The Accompanying Person Ticket allows you to bring one guest to the three lunches, welcome banquet, and conference gala dinner, being held during the conference.

The deadline to request a refund is May 23, 2023.

*Please note that by registering for MEMEA 2023, you agree to your photo being taken and included in the official conference photo gallery following the conference.

Registration by Bank Transfer

If you wish to do a bank transfer, please complete this registration form and send to Katie Mack. Note: Payments made via bank transfer are non-refundable. Bank transfer payments will incur a $25 transaction fee.

Registration Policy

An accepted paper will be published in the conference proceedings on IEEE Xplore only if the following two conditions are met:

  1. The full-fee (which can be the fee of IMS Member, IEEE Member, or Non-Member, but not Student Member or IEEE Life Member) registration payment for one the paper’s authors is received and correctly processed by April 22 2023, and
  2. The author presents the paper at the conference.

Not meeting either of the above two requirements results in the paper to be flagged as “no show” and removed from publishing in the conference proceedings on IEEE Xplore.

COVID Strategy

We expect the conference to be in person.

Please check the government of South Korea’s requirements for entry into South Korea here, and be sure to plan and prepare accordingly for your in-person attendance at the conference. In addition, we recommend that attendees purchase travel insurance for their trip.

The COVID-19 pandemic is unpredictable, so it is possible that the situation could change closer to the date of the conference. If government rules change and a registered author is affected by one of the following two legal restrictions, the author should immediately inform the conference organizers of the change:

  • the government of the author’s country of residence strictly forbids travel to South Korea; or
  • the South Korean government strictly bans the author from entering due to COVID-19 related reasons. Please note that being COVID-19 unvaccinated does not fall under this restriction.

The organizers will then monitor the situation and, if the restriction is not remedied in time, will allow the author to switch to virtual presentation. Virtual presentation means that:

  1. the author will upload a pre-recorded video that presents the paper (video and upload instructions will be provided), and
  2. the author is available online at the scheduled time of his/her paper to answer questions from the audience through the A/V conferencing tool set up by the organizers (instructions will be provided).

To apply please send the following via email:

  • Paper # and Title for the presentation requesting a virtual presentation
  • Proof from your local government about the restrictions preventing travel (i.e Visa Rejection Letter, proof of travel restrictions from a government entity)

A new set of instructions will be sent for uploading content if your application is approved.

Covering the Expenses for Paper Publication

Please, read carefully the following information concerning the registration procedure that is presented in the Author Instructions, especially if you are the prospective presenter of an accepted paper or if you need to guarantee inclusion of your accepted paper in the proceedings. An accepted paper will be published in the proceedings only if the full-fee registration payment for one of the authors is received and correctly processed by April 22, 2023 – no exceptions.

Only member or non-member fees are allowed to cover the publication of an accepted paper. To qualify for member rates, the membership number must be provided in the registration form. Student and IEEE Life Member registration fees cannot be used to guarantee the publication of an accepted paper. If the author registering to cover the paper publication is a student, he has to pay the appropriate member or non-member fee. Members to whom the society bylaws grant special discounts (e.g., Students, Life members of the IEEE) cannot use the discounted rates to cover the publication of an accepted paper, they have to pay the member fee.

One author registration will cover the publication expenses of only ONE accepted paper. For each additional accepted paper associated to the same registration, a $100 USD fee will be charged. Up to 3 papers can be covered by a single registration with additional paper fees. If an author is registering to cover the publication of more than 3 papers, they will need to pay an additional full registration fee. In the case no registration has been received and correctly processed to cover the paper publication, the conference organizers will contact the authors before the paper is removed from the proceedings.

Cancellation Policy

All refund/cancellation requests must be received by May 23, 2023. There will be an administrative fee of $150 USD deducted from each refund.

You can modify or cancel your registration using the “Already Registered?” link on the registration site.

Photography

Attendance at, or participation in, this conference constitutes consent to the use and distribution by IEEE of the attendees image or voice for informational, publicity, promotional and/or reporting purposes in print or electronic communications media. No flash photography will be used.

Video recording by participants and other attendees during any portion of the conference is not allowed without special prior written permission of IEEE.

Photographs of copyrighted PowerPoint or other slides are for personal use only and are not to be reproduced or distributed. Do not photograph any such images that are labeled as confidential and/or proprietary.
